How to Scan Receipts Into a Spreadsheet With AI
The shoebox is not the hard part. The hard part is ending up with a spreadsheet you can trust.
Photograph each receipt clearly, choose your columns before extraction, and process a small batch at a time. Ask AI to mark unreadable values instead of guessing. Then compare every date and amount with the original before using the sheet for expenses, reimbursement, bookkeeping, or taxes.
AI can save typing. It cannot turn a blurry receipt into reliable financial evidence.
Decide the columns before you upload anything
If you let the AI invent the table as it goes, one receipt may put tax in a separate column while another folds it into the total. Decide what one row should contain first.
A useful starter table is:
| Column | What belongs there |
|---|---|
| Receipt ID | Your filename or handwritten number, such as R-001 |
| Date | Use one format, such as 2026-10-13 |
| Merchant | The store or seller shown on the receipt |
| Category | Your own category, or REVIEW when uncertain |
| Subtotal | Amount before tax and tip |
| Tax | Tax shown on the receipt |
| Tip | Tip shown separately |
| Total | Final charged amount |
| Payment method | A broad label such as card or cash—not card digits |
| Notes | Return, refund, unreadable text, split purchase, or other issue |
| Checked | Leave blank until a person verifies the row |
You do not need every line item if your goal is monthly expense tracking. If the task requires individual products, add Item, Quantity, and Line total, knowing that the review will take longer.
Make the receipt photos readable
Use one receipt per image for the first batch.
- Place it flat on a plain surface.
- Use even light and avoid shadows across the total.
- Keep all four edges visible.
- Make sure the date, subtotal, tax, tip, and total are in focus.
- Photograph long receipts in overlapping sections if the full image makes the text too small.
- Give each file a simple ID, such as
R-001.jpg.
Before uploading, crop out information the spreadsheet does not need: customer names, home addresses, loyalty numbers, employee IDs, full payment details, QR codes, and barcodes. Keep the untouched original somewhere safe for your records.
For medical, legal, employee, or client expenses, an approved expense or accounting system may be more appropriate than a general consumer AI chat.
Start with two receipts, not the entire pile
Open a tool that accepts images. ChatGPT currently supports image and document uploads on free and paid plans, subject to plan, account, region, and workspace limits. Gemini also supports photo and document uploads after sign-in, with rolling and plan-dependent limits.
Upload two clear, non-sensitive receipts and use this prompt:
Extract the receipts into a table with these exact columns:
Receipt ID, Date, Merchant, Category, Subtotal, Tax, Tip, Total, Payment method, Notes, Checked.
Rules:
– Use one row per receipt.
– Copy amounts exactly as shown; do not calculate a missing value.
– Write
NOT SHOWNwhen a field is absent.– Write
UNCLEARwhen you cannot read it.– Do not guess the category. Use
REVIEWunless the receipt makes it obvious.– Do not copy card digits, loyalty numbers, addresses, QR codes, or barcodes.
– Keep the Receipt ID from each filename.
– After the table, list every uncertain field and the Receipt ID it came from.
If the first two rows are good, continue in small batches. A smaller batch makes it easier to notice when rows shift, one receipt disappears, or the tool merges two purchases.
What happened in H5W's receipt test
H5W created six fictional receipt images for this test. They included a missing tip, a refund, a faded digit, a broad card label, and a possible duplicate. No customer or real payment data was used.
Gemini failed to complete both a six-image batch and a smaller two-image batch. ChatGPT completed the same two-image batch. It copied the dates and amounts correctly, marked the missing tip and payment method NOT SHOWN, kept the categories as REVIEW, and left out the card digits as requested.
One small change still needed attention: the prompt left the Checked field for a person to complete, but the result filled it with No. That is harmless in this example, but it shows that a tool may change your table rules even when the OCR is accurate. Start with two receipts, inspect every column, and switch tools when a batch repeatedly fails.
Hunt for these mistakes
Do not simply scan down the Total column and decide it looks reasonable.
Check each receipt in the same order:
- Receipt ID: Does the row point to the correct source image?
- Date: Did the tool swap month and day or read the transaction time as the date?
- Decimal point: Is
18.90now189.00? - Subtotal, tax, tip, and total: Were they put into the correct columns?
- Refund or return: Is a negative amount still negative?
- Duplicate: Was the same receipt photographed or entered twice?
- Merchant: Did a logo or address confuse the store name?
- Category: Is this your decision rather than an AI assumption?
Recalculate subtotal + tax + tip when those fields are present. If the numbers do not match the printed total, mark the row for review rather than silently changing it.
Only put yes in the Checked column after comparing the row with the receipt.
Export a CSV, then open it in your spreadsheet app
ChatGPT's current data-analysis documentation says generated tables can be downloaded as CSV. Other tools may show a copy button or let you request CSV-formatted text.
After export:
- open the file in Excel, Google Sheets, Numbers, or another spreadsheet app;
- confirm dates did not change format during import;
- format money columns as currency;
- sort by Receipt ID and check for missing numbers;
- look for duplicate combinations of merchant, date, and total;
- keep a link or filename that leads back to each original image.
Do not overwrite your original images after the export works. The spreadsheet is a convenience layer; the receipt remains the source.
Keep financial and personal details out
OpenAI says content submitted to consumer ChatGPT services may be used to improve models depending on settings. Business offerings have different defaults. Google likewise asks users to review Gemini Apps Activity and privacy settings for uploaded content.
For a consumer account, use cleaned fictional or minimally necessary data. Turning off model improvement or using a temporary mode can reduce some uses, but it does not make confidential employer, customer, tax, or medical records automatically appropriate to upload.
If your employer has an expense platform, use it. If the receipts support a tax filing, reimbursement dispute, audit, or regulated record, keep the originals and follow the required process.
A trustworthy sheet takes two passes
The first pass is extraction. The second is evidence checking.
AI earns its time savings by doing the repetitive typing—not by replacing the part where you confirm that $81.90 did not become $819.00.
