How to Create Word, Excel, PDF, and Slides Files With Gemini

You have finished planning something with AI, but the result is still trapped inside a chat. Copying it into Word, Excel, or a presentation can take almost as long as making it yourself.

Ask for the file you actually need: tell Gemini what you need and name the file format. Gemini can now create formatted files directly from a conversation, including PDF, Word, Excel, CSV, Google Docs, and Google Sheets. For most formats, you can download the result or export it to Google Drive.

Ask for the finished file

Be clear about the purpose, content, and format:

  • Create a one-page project brief as a Word document. Include the goal, timeline, responsibilities, and open questions.
  • Create an Excel budget with columns for item, estimated cost, actual cost, and difference. Add a total row.
  • Turn these notes into a clean PDF checklist grouped by preparation, travel day, and arrival.
  • Create a short presentation outline for a five-minute talk. Use one main idea per slide.

If Gemini answers with ordinary text, follow up with:

Create this as a downloadable .docx file.

Build the content first, then create the file

A file is easier to check when you can see the content before Gemini formats it. Use two passes instead of asking for a finished document from a vague sentence.

  1. Ask for the outline, column plan, or slide structure in the chat.
  2. Correct missing facts, headings, categories, and instructions.
  3. Ask Gemini to create the file from the approved structure.
  4. Download it and open it in the application that will actually be used.

For a spreadsheet, name the columns and say which cells should contain formulas. For a document, specify the audience, length, and required sections. For slides, state the speaking time and the main decision or lesson the audience should leave with.

This process creates a review point before formatting makes the result look finished. It also makes it easier to identify whether a problem came from the content or the exported file.

Formats currently supported

Google currently lists Google Docs and Sheets, PDF, .docx, .xlsx, .csv, LaTeX, TXT, RTF, and Markdown. Google's April announcement also described creating Slides from Gemini conversations, although the current help page's file-format list is narrower. Availability and export options can change, so check what your own account offers before promising a particular format to someone else.

Some Gemini features work without signing in, but file upload and advanced account features require a Google account. Work and school accounts may also depend on an administrator's settings.

Check the file after it downloads

Do not assume the exported file is finished just because it opens correctly.

For a document or PDF, check:

  • headings, page breaks, names, dates, and missing paragraphs;
  • links and citations;
  • anything Gemini presented as a fact.

For a spreadsheet, check:

  • formulas and totals;
  • currency, date, and percentage formats;
  • whether blank cells were treated correctly;
  • whether a chart uses the correct range.

For a presentation, check:

  • whether each slide has one clear purpose;
  • whether text fits without becoming tiny;
  • image rights, labels, numbers, and speaker notes.

AI is good at making a useful first file. It is not a substitute for opening that file and checking it.

Test the file with a small real example

Before sharing a generated template, enter one or two rows of fictional data, update one number, and confirm that formulas, totals, filters, and charts respond correctly. In a document, edit a heading and export it again to check page breaks. In a presentation, present it once in slideshow mode and confirm that no text or image is cropped.

Use a familiar output when other people need to edit the result. A .docx or Google Doc is better than a PDF for collaborative writing; .xlsx or Sheets is better than a picture of a table for calculations; PDF is better when the layout should remain fixed. The most impressive format is not always the most useful one.

If a file contains important numbers, keep the source values beside it and record which calculations you checked. Do not let a polished export become the only copy of the underlying information.

Privacy tip

Do not paste confidential customer lists, private financial data, employee records, passwords, or sensitive school information into a personal Gemini account just to generate a file.

Google says prompts and uploaded content can be saved in Gemini Apps Activity when Keep Activity is on and may be used according to your settings. Review Gemini Apps Activity and the Privacy Hub before using private material.

If your source material is already in a document, use H5W's file-upload safety checklist first. If you only need the main points from an existing PDF, the PDF summarizing guide may save you from creating another file at all.
